1. Definitions
The Hirer/Client refers to any individual or organisation booking the studio, including any representative, employee, contractor, or associate of that individual or organisation.
The Studio refers to Hamlin Studios Ltd.
The Equipment includes all items provided by or located in the studio, including but not limited to lighting, stands, triggers, coloramas, backdrops, polyboards, reflectors, set props, furniture, and appliances.
By confirming a booking, the Hirer agrees to abide by the following terms and conditions.
2. Hire Fees
Studio hire rates are outlined in the current Hamlin Studios rate card and must be paid in full in advance of the hire date unless otherwise agreed in writing.
All in-studio equipment is included in the hire fee, unless stated otherwise.
Use of paper backdrops on the floor will incur a £10 per meter charge.
3. Hire Period
Standard studio hours are 9AM–6PM.
Overtime is charged at £80/hour and subject to availability. While we try to accommodate reasonable requests, overtime must be agreed in advance.
Overtime is not guaranteed, especially for half-day bookings where the studio may be required immediately after your slot.
4. Equipment & Studio Use
a. All Equipment is provided in working order. The Studio does not guarantee suitability for specific purposes. Any lost, damaged or stolen items will be charged at full replacement value.
b. No Equipment may be removed from the premises. All items must be returned in their original condition.
c. No alterations to the studio (including taping, nailing or painting) are permitted without written approval. Any damage to fixtures, fittings, furniture, or structure will be charged in full to the Hirer.
d. General cleaning is included in the hire fee. Excess cleaning (e.g. glitter, paint, confetti, food mess, etc.) will incur a £100 cleaning charge plus 50% of a day rate if the studio cannot be re-used the following day.
e. It is the Hirer’s responsibility to report any damaged or faulty equipment before use.
f. Equipment must be used safely and according to manufacturer instructions.
g. Any damage discovered after your booking may still be charged, including loss of future hire revenue if the item is unusable.
h. Failure to return equipment or pay damages may result in legal action or recovery costs.
5. Health & Safety
Smoking or vaping is strictly prohibited within the studio or building.
The Hirer must familiarise themselves with fire exits, extinguishers, and first aid kits upon arrival.
Children under 16 must be supervised at all times.
6. Cancellation & Rescheduling
Bookings are non-refundable.
You may reschedule a booking with at least 48 hours' notice. The new booking must fall within 30 days of the original date.
Cancellations or no-shows without proper notice will be charged in full.
Hamlin Studios reserves the right to cancel any booking at its discretion in cases of breach or unforeseen circumstances.
7. Privacy Statement
Any personal or company information you provide will only be used to deliver the services you've booked and to manage your account.
Your data is never shared externally without consent.
8. Terms of Use & Liability
Use of the studio is at the Hirer’s own risk.
The Hirer waives all rights to pursue legal claims against Hamlin Studios for any injury, loss, or damage occurring during the hire period.
The Hirer accepts full responsibility for their guests, crew, or clients while on site.
Dangerous, negligent, or unsafe behaviour will result in immediate termination of the booking without refund.
The Studio is not responsible for any lost or damaged personal belongings or client property.
The Hirer is advised to have adequate insurance for equipment, liability, and cancellations.
9. Governing Law
These Terms of Service are governed by and construed in accordance with English Law.
